The problem: every supplier uses a different format.
DHL, warehouse suppliers, freight delivery notes, your own suppliers — no two delivery notes look the same. Some have tables, some lists, some are handwritten. Manual data entry is error-prone, slow and ties up staff who have better things to do.
DokuScan solves this with AI-based field extraction: you define what you need, the AI finds it — regardless of the layout of the delivery note.
Which types of delivery notes does DokuScan support?
Trade goods / item deliveries
Item number, description, quantity, unit, price — each position as its own Excel row.
Freight delivery notes
Shipment number, weight, pallets, delivery address, carrier — fully structured.
Construction delivery notes
Material, quantity, unit, construction site, delivery date — directly into site invoicing.
Food / catering
Product, weight, best-before date, supplier, batch number — for HACCP-compliant documentation.
Return delivery notes
Return reason, item, quantity, condition — automatically for goods receipt recording.
Internal transfer notes
From warehouse, to warehouse, item, quantity, date — for internal stock management.

How it works.
Create a template: define fields — item number, description, quantity, unit, supplier, date.
Upload delivery notes — PDF, scan or photo. Multi-page PDFs are also processed.
AI reads all positions and fields — each item line individually.
Download Excel or CSV — ready to import into your ERP, inventory system or spreadsheets.
Each position individually
Every item position is exported as its own row — with all defined fields. No totals, full granularity.
Custom fields
Item number, batch, weight, best-before date, storage location — you define what you need, not what the tool dictates.
Batch processing
Upload all delivery notes of the day at once — up to 25 files simultaneously, one combined export.
PDF and photos
Digital PDFs are read directly. Paper delivery notes via smartphone photo or scanner — both work.
No subscription
One-time scan packages from EUR 9. Credits do not expire. Pay only for what you actually process.

Frequently asked questions
Does DokuScan work with delivery notes from different suppliers?
Yes. Since every supplier uses a different layout, DokuScan relies on AI-based field extraction instead of rigid templates. You define which fields you need — the AI finds them regardless of the layout. For suppliers with very different formats, a separate template per supplier is recommended.
Can photos of delivery notes be processed?
Yes. DokuScan processes PDF, JPG and PNG. Photos taken with a smartphone work just as well as scanned PDFs — as long as the document is reasonably legible.
Are individual item positions exported as separate rows?
Yes. Tables on delivery notes are fully mapped as individual rows in the export. Each item position gets its own row with all defined fields — ideal for direct import into inventory systems.
What does a scan cost?
One delivery note (one page) uses one credit. The Starter package costs EUR 9 for 100 credits — EUR 0.09 per delivery note. Credits do not expire.
Can I import the export directly into my ERP or inventory system?
DokuScan exports as Excel (XLSX), CSV and JSON. Column names correspond exactly to your field names from the template. CSV imports are supported by all common inventory systems such as Lexware, Sage, SAP Business One or custom Excel workflows.
